Coordinator Admin Transport

Job Purpose & Primary Job Responsibilities

Reconcile, validate, and process all invoices related to transport and other operational activities. Manage registration and administrative tasks in coordination with Transport Coordinators and support the Customer Service team in handling transport costs and ancillary-related matters.

  • Invoice Transport Handling: Validate and ensure that work orders in OPUS (TPO) and trips in PARIS are accureately recorded to match the final agreed cost and corresponding voices. Investigate and resolve any queried invoices or discrepancies using the internal AP Tool application. Manage and review query lists for NL and BE, ensuring TES and PSO invoices are consistent with system records and addressing any identified discrepancies. 
     
  • Coordination Cost & Revenues: Resolve ad hoc transport invoice queries from vendors and update the internal system once clarification is obtained from the relevant stakeholders. Coordinate additional vendor costs with the appropriate stakeholders and get support from Transport Coordinators on various administrative tasks. Thoroughly review and validate any costs not captured in the system/OPUS that require manual processing (outside JSOX regulations) before approval.  
     
  • Invoice Input & Queries: Verify all additional ad hoc operational purchase order costs with the relevant stakeholders. Provide operational administrative support as required.
     
  • Communication: Ensure accurate and detailed communication with Transport Coordinators and Customer Service Coordinators. Share relevant information internally within ONE and externally with vendors regarding invoice amendments. Maintain effective communication with offshore teams and cross-functional collaboration with onshore departments (OPS teams, CSVs, and nearshore teams). Provide dedicated support and guidance to the OFS AP team. Liaise with OCP and IOP teams on matters related to costs, vendor contracts, tariffs, and system updates. Manage external communication with TES (terminals and depots) and PSO vendors.  

Location
This is a local position Bases in the Rotterdam Agency Office.

Required Skills and competencies

  • Vocational degree or higher preferably in shipping.
  • 1 -2 years of relevant working experience in (shipping) transport, ideally within operations environment.
  • Fluent in English.
  • High level data analysis ability and cost awareness.
  • Methodical and being able to prioritize workload.
  • Conscientiousness and high standards of accuracy and detail.
  • GSuite & Microsoft Office, preferably OPUS know how.
